Office Lead - Full Time - Neurology

Responsible for greeting patients, providing information, communicating with departments, and scheduling appointments as required. Conveys a positive image of medical office. This individual works with the physicians to ensure the smooth operation of the office including the directing, planning and coordinating of all clerical and administrative office activities.

DUTIES AND RESPONSIBILITIES:

  • Greets customers in polite, prompt, helpful manner.
  • Repetitively distribute forms for patient completion via clip board or electric devices
  • Update and maintain correct patient data, insurance information and collects co-pays or outstanding balances owed NOMS
  • Answers phones in pleasant manner and deals with customer needs expeditiously. Screens calls, takes messages, and provide information.
  • Scan documents in copy machine or desktop scanner, Identify documents, Process the fax folder and file in appropriate folders/charts
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Ensure compliance with NOMS corporate policies and procedures, including deadlines for submitting time sensitive materials.
  • Assist in the recruiting, hiring, orientation, discipline, development, evaluation and establishment of salary/merit increases of medical office staff. Discipline procedures will be done in consultation with physicians and NOMS Human Resources.
  • Responsible for scheduling of staff to ensure receptionist coverage during hours of operation.
  • Training of clerical staff to ensure they are compliant with NOMS policies, procedures and best practices.
  • Will act as the point of contact between the physician office and NOMS Administrative Team.
  • Books, coordinates and reschedules patient appointments. Relays necessary messages to staff.
  • Maintains and updates current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed.

KNOWLEDGE AND SKILLS REQUIRED:

  • Knowledge of reception tasks, clinic policies/procedures, paperwork.
  • Knowledge of how to use office equipment including phone, computer.
  • Knowledge of customer service concepts and techniques.
  • Knowledge of business office procedures.
  • Knowledge of grammar, spelling, and punctuation to type patient information.
  • Skills in using office equipment satisfactorily and handling paperwork/filing adequately.
  • Skills in customer service principles by creating a pleasant waiting room atmosphere.
  • Skills in answering the telephone and using a multi-line telephone system in a pleasant and helpful manner
  • Ability to communicate clearly in person and maintain cooperative relationships with patients, families, physicians, staff and other customers.
  • Ability to organize, prioritizes tasks, and multitasks effectively.
  • Ability to read, understand and follow oral written instructions.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.

EDUCATION AND WORK EXPERIENCE:

  • High school graduation or GED.
  • Previous experience working in a manager role.
  • Preferably six months’ receptionist experience in health care setting and experience with office equipment.
  • Knowledge of medical terminology.

ENVIRONMENTAL/WORKING CONDITIONS:

  • Office setting, well-ventilated and well lighted. Work involves frequent telephone contact with patients. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with sick people.

PHYSICAL/MENTAL DEMANDS:

  • Sitting for extended periods of time along with some stooping and bending.
  • Requires sitting to standing throughout the day as required.
  • Requires eye-hand coordination, finger dexterity.
  • Must be able to view computer screens for long periods.
  • Occasional stress related to workload and patients with problems.
